Blueprint

Associations

Decide which system is allowed to be right about membership. Everything follows.

What This Is

The Stack, and Why

The universal problem is not missing data. It is three departments holding three versions of it.

The architecture that resolves it is a governance decision made in an afternoon, and no amount of software will substitute for making it.

Source of Truth
The AMS
Membership status, dues, eligibility, tenure, chapter. Nothing else may write these.
Engagement Layer
HubSpot
Communications, events, campaigns and attendance. Reads status, never writes it.
Sync
AMS integration via Make or Pipedream
One-way for status fields. Bidirectional membership sync eventually produces two systems that disagree.
Intake
Typeform
Event registration and applications, landing as records rather than spreadsheets.
Documents
PandaDoc
Sponsorship agreements and renewals in a tracked flow.
Payments
Stripe
Dues and event payments, reconciled against the AMS record.
Books
QuickBooks
So dues revenue and event revenue are separable.

Install Order

Sequence Matters

  1. Agree which system owns membership status. Write it down. Circulate it.
  2. Make the sync one-way for those fields.
  3. Deduplicate, using the AMS as the arbiter.
  4. Rebuild the engagement layer on clean status data.
  5. Only then build the dashboard, which is now a query.

What It Replaces

Before This

Three conflicting exports, a dashboard that takes three people a week, and duplicate records accumulating from years of inconsistent imports.

Associations is one of six verticals reasoned from research rather than delivered work.

On CRM selection. Where your industry platform already holds the customer, it is the CRM and we configure it. HubSpot comes in for what it does not do. Every stack is chosen against written requirements, with live demos, before anything is bought.

Platform licenses are billed by the vendor. We hold no partnership or reseller relationship with any platform named here.
